Sick Leave FAQs

Departments will need to pay for students not covered by Work Study OR being paid out of departmental funds or grants. It will be important to consider this as a factor in future budgeting.
Some, but not all, student on-campus jobs are eligible for sick leave. If your student employee completes a timesheet every two weeks and falls into the categories outlined in section 2-3 of the Interim Temporary Employee Policy (Policy 407-01) chances are, they are eligible. However, there are some exceptions. Check with Student Employment to be sure.
If they are eligible for sick leave, your student employee will accrue at the rate of one (1) hour of sick leave for every forty (40) hours worked. More information can be found in section 6-2 of the Interim Temporary Employee Policy (Policy 407-01).
Sick leave will be accrued in Banner based on the hours submitted by the temporary employee on their timesheets and/or during the payroll process. Employees and supervisors will be able to view leave balances on EagleNET.
If they are eligible for sick leave, your student employees may use it under the conditions outlined in section 6-2 of the Interim Temporary Employee Policy (Policy 407-01).
- They must notify their supervisor as soon as reasonably possible when they will be absent due to illness or injury. If they are in a position where a relief replacement is necessary if they are absent, they must notify their supervisor at least two (2) hours prior to their scheduled time to report to work, whenever possible.
- The University may require a written medical certificate for absences of three (3) or more consecutive days or where there is reason to suspect sick leave abuse.
If your student employee has more than one on-campus job, they will be able to utilize accrued sick leave for any eligible position.
Your student employee will not be able to cash out any earned sick leave. They can carry it over to the next calendar year as long as it amounts to (40) hours or less.
If a temporary employee separates from employment at EWU and is rehired within twelve months by EWU, the employee’s accrued unused sick leave will be reinstated. Non-compensable sick leave earned under this policy must be used prior to any compensable sick leave accrued in a non-temporary position.
